General Studio Policies

Aura Studio is broken into two main sections: the waiting room (the front entrance when you first walk in) and the studio (where classes take place in the back).
We are thrilled to have Kneaded Massage Therapy in our building. This is a private business with a private room. You will see a door in the entrance with the business sign. This is absolutely off-limits to everyone.
We are a peanut-free facility.
All communications will come from kailey@aurastudiopv.com and will be sent to the primary email address on file. Social Media messaging is not an acceptable form of communication. Upon receiving ALL emails, please reply so we know you have read and received the information.
It is the parent/guardian’s responsibility to update all student information should anything change. Please email dance@aurastudiopv.com if there is a change in your child’s information.
The studio is busy with daily classes. Please be respectful to the building, other individuals and the time of the instructors.
If you have a question for the instructor that will take longer than a few minutes, please email dance@aurastudiopv.com to schedule a meeting to allow the appropriate time.
There is zero tolerance for inappropriate behaviour, bullying, and/or harassment towards staff, clients, other children and/or other parents/guardians. Anything brought to our attention will result in asking the individual to refrain from entering the building and/or being pulled from the dance season.
To protect the privacy of each individual, no photography and/or video are to be taken unless permission is given.
Children under the age of 6 are to be accompanied by an authorized adult at all times until they are in the studio with their instructor for the class. Students under the age of 6 who are waiting for their pickup will be asked to wait in the studio, so the instructor has eyes on them at all times (this is why on-time pickup or letting staff know you’ll be late is crucial).
Aura Studio is located in a busy area. Please speak to your child about the safety of waiting for their pickup. No child should be standing outside the studio waiting for their pickup regardless of age and time of year.
For our year-end recital on June 1st, we will send out a request for parent volunteers to help make our recital a success! If other volunteer opportunities pop up, we will let you know.

Class Policies

Students are expected to arrive on time to their class. Please inform the studio if you know your child will be late by emailing: dance@aurastudiopv.com.
Aura Studio is not a daycare facility. Please ensure that you or the authorized adult pick up the dancers on time. If you’re running behind or know you will be late, please inform the staff at drop-off.
Absolutely no cell phones, gum, food, liquids (besides water), and/or outside footwear are permitted inside the studio. Anyone who enters the building MUST remove their footwear at the door, this includes parents, guardians and/or authorized adults. This helps keep our studio tidy.
To help keep the entryway clear, please use the provided shoe rack for your outdoor footwear and hang up any jackets and/or sweaters on the hooks provided.
We ask that everyone cleans up after themselves in the waiting area. Having a snack before or in between classes is encouraged (we don’t want dancers' energy low), however, messes are not.
Aura Studio is a safe, welcoming and respectful environment. We expect your child to respect the instructor, each student and the studio. Continuous disrespectful behaviour will be communicated.
No hanging on the barres, touching the mirrors and touching any of the adult equipment in the studio. Dancers share the studio with adult fitness classes.
For the younger dancers, please ensure your child has gone to the washroom BEFORE their class begins. The washroom is outside of the studio, and we only have one instructor for the class.
No running and/or horseplay is allowed in the entrance, hallway, bathroom and/or studio.
Dance is not something that should be forced if the individual does not want to participate. With that, if your child does not listen/cooperate with the instructor and is showing signs of disinterest, the instructor may ask your child to sit out for the remainder of class or until they’re ready to participate again. We will communicate with the parent/guardian if this happens.
Parents are asked to drop off their child and either quietly wait at the entrance or leave the studio and return at the designated time. We do not allow anyone to sit and observe inside the class (we will have a parents/guardians week in which we invite you to come and watch).

Class Cancellation Policy

Aura Dance follows Garden Valley School Division for class cancellations.
Aura Studio is closed on statutory holidays (unless otherwise communicated).
Our dance program allows for 1 class cancellation due to weather and/or instructor cancellation. Additional cancellations will have a scheduled makeup class later in the year that works for the majority of students.
If the school division cancels classes the morning of due to weather, Aura Dance will also cancel classes (unless weather conditions improve).
If weather conditions deteriorate through the day without school cancellations, a decision will be made by the studio head and communicated to parents by 2:00pm via e-mail that day.
Students that are sick should not attend class. Please email dance@aurastudiopv.com if your child is not able to attend.
There are no refunds for any and all canceled classes.

Studio Cancellation & Fees Policy

Aura dance allows parents/guardians to withdraw their child from dance with a refund, minus a $10 administration fee and a $15 charge for every class attended until December 31st, 2023.
Withdrawals from dance classes starting January 1st, 2024 will be accepted with no refund.
Students have until October 31st, 2023 to switch to a different class within their same age group. After that, class switching is not permitted for the integrity of the dance education and respect to the instructor's dance planning.
Students who miss 3 classes in a row with no communication from the parent/guardian are considered a withdrawal from the studio, which results in no refund, regardless if it is before the cut-off date.
Costume fees are non-refundable after December 31st, 2023. This holds true if you withdraw your child from dance later, as costume orders will have already been placed. Please arrange a time to pick-up the costume when they arrive.
Late Fees: 2% daily late fee charge is added to the remainder of your balance for any missed payments (unless discussed with the Director of the studio, Kailey Thiessen). This fee is added to each month payment is not made. There is a 3-day grace period before the late fee begins.
There is a $25 charge for NSF cheques. You will be notified, and the follow-up payment with the penalty fee is expected within 48 hours. If this occurs, we will no longer accept cheques and will either ask for the remaining balance in cash or credit card if you wish to continue with the payment plan.

Covid-19 Policy

Aura Studio adheres to any and all public health guidelines and measures during the Covid-19 pandemic. You will receive a notification via email in the event of restriction changes.
If your child is ill (Covid symptoms or otherwise), please keep your child home from classes and notify the staff. We ask that your child does not come to class until they are well again.
At this time, masking is not required. However, we encourage and respect the individual decision to wear a mask if you feel more comfortable doing so.
If a provincial shutdown occurs, Aura Studio will move to virtual classes until we’re able to resume classes in-person. We understand this is not ideal and will accept withdrawals from dance with a refund, (minus a $10 administration fee and $10 for every class attended). The costume fee is nonrefundable after December 31st if you choose to withdraw. We will not accept re-registrations of class if this occurs as classes will continue through a shutdown.
If a masking mandate comes into effect, Aura Studio will follow and require masks. If you want to remove your child from class because of this, our regular refund policy is in place (please see our refund policy above).
